FAQ

Frequently asked questions about LernHive.

Answers to the questions that most often come up during procurement and evaluation — grouped by topic. If something is missing, write to kontakt@lernhive.de.

Security & compliance

Is LernHive GDPR-compliant?

Yes. LernHive uses the Moodle Privacy API end-to-end — subject access, export and deletion requests run on every record. A Data Processing Agreement (GDPR Art. 28) including the subprocessor list ships with every contract. Hosting is exclusively in German data centres.

Is LernHive ISO 27001 certified?

Hosting runs in ISO/IEC 27001-certified data centres. Audit reports and the list of technical and organisational measures (TOMs) are available to procurement teams on request. A standalone ISO 27001 certification of the platform itself is on the roadmap.

Are penetration tests performed?

LernHive itself commissions regular penetration tests. If a tender requires annual third-party audits or a specific scope, we price that as an external audit partnership — typical line item 10–20 kEUR per year.

Are backups included?

Yes. Daily encrypted backups are included in the managed SaaS package. Retention period and restore window are agreed per contract — default is 30 days retention with RPO ≤ 24 h and RTO ≤ 4 h.

Does LernHive meet BITV 2.0 / EN 301 549 / BFSG?

Yes. LernHive is designed to WCAG 2.2 AA, which covers BITV 2.0, EN 301 549 and BFSG requirements. An accessibility statement per tenant instance is provided on request.

Are audit logs maintained?

Yes. Configuration changes are tracked end-to-end by the Configuration History building block (see plugin page); access and activity logs come from Moodle core. Default retention 1 year, configurable up to 7 years.

Authentication & single sign-on

Which SSO protocols are supported?

SAML 2.0 and OpenID Connect (OIDC) — both via Moodle core auth plugins, standard without custom code. LDAP / Active Directory is additionally available. Microsoft Entra ID, Keycloak, Shibboleth and Azure AD are proven.

Can we use multiple identity providers in parallel?

Yes. Multiple SSO providers can be configured in parallel — a typical case is employees via Entra ID plus external learners via a separate OIDC or SAML provider. The login picker controls which path is used.

Is SCIM-based user provisioning supported?

Just-in-time provisioning on first SSO login is standard; full SCIM 2.0 is on the roadmap. In the interim, the Moodle web services or a synchronised LDAP connector handle bulk provisioning. CSV imports and automatic profile-field mapping are supported.

How does multi-factor authentication work?

MFA is enforced at the identity provider — Entra ID, Keycloak or Shibboleth — not reimplemented in Moodle. That is clean separation of concerns: the SSO domain decides, LernHive trusts the token. A platform-side TOTP variant can be enabled optionally.

Hosting & operations

Where is data stored?

Exclusively in German data centres (ISO/IEC 27001 certified). No processing outside the EU, no US subprocessors in the data processing chain. Data residency is locked in the contract.

Which SLA tiers are available?

Three tiers: Standard (best effort, 99.5 % availability), Priority (99.9 %, guaranteed response times) and Enterprise SLA (99.9 %, 24/7 on-call, dedicated instance). Exact service level is tier-bound — details on the pricing page.

Can we self-host LernHive on-premises?

LernHive is offered exclusively as managed SaaS — on-premises is out of scope. For public-sector customers with their own administration cloud (Deutsche Verwaltungscloud-Strategie), we evaluate partner solutions case by case.

How are updates handled?

Platform and building-block updates are included in the managed SaaS package and roll out in scheduled maintenance windows. Tenants receive advance notice; major updates ship with release notes and an optional test instance.

Standards & integrations

Are SCORM and xAPI supported?

Yes, both as Moodle core standards. SCORM 1.2 and SCORM 2004 importable as activities; xAPI via the Moodle log-store plugin with hookup to external Learning Record Stores. cmi5 is available via existing community plugins.

Does LTI 1.3 work?

Yes, LernHive is both LTI provider and consumer. Third-party content embeds in, and LernHive content embeds out. MS Teams, BigBlueButton and proctoring tools like Proctorio use LTI as the integration layer.

How does MS Teams integration work?

Authentication via Entra ID (OIDC), meeting embed via LTI 1.3, optional single sign-on for Teams content as an activity inside a Moodle course. Deeper integrations — e.g., deep links from Teams channels into specific LernHive courses — are priced as custom work.

Can we export data without vendor lock-in?

Yes. Course content exports as Moodle backup or SCORM / IMS Common Cartridge. Participant and progress data as CSV or via the Moodle web services API. Database schemas are open source — no proprietary formats, no lock-in.

Reporting & analytics

Which reports are available out of the box?

Out of the box you get dashboard, users in course, popular courses, course completion, seminar bookings and feedback analysis. Depending on the report, exports are CSV, XLSX, ODS, JSON, HTML and additionally PDF for seminar reports.

How are scope and permissions handled in reporting?

Access is controlled through Moodle capabilities and course-level permissions. Orgchart/Audience row scopes are prepared as a contract, but are not promised as a finished filter for every surface.

Are custom reports possible?

Yes, through Moodle Custom reports. LernHive contributes its own report sources and preset cards; saving, sharing, scheduling, audiences and charts then use Moodle core. BI integrations remain project-specific.

Multitenancy & tenants

Is LernHive multi-tenant?

Yes, via Moodle multi-tenancy. Per tenant: own users, courses, roles, branding, data isolation. For very complex scenarios (e.g., several hundred tenants with hard storage-level data isolation) we ship project-specific hardening patterns — see backlog BL-R2-06.

Can tenants use their own branding?

Yes. Per tenant: own logo, colours, welcome texts, login branding and URL. Deeper theme branding per tenant is possible but tier-bound — Standard tier gives logo + colours, higher tiers offer free theme customisation.

Who manages users per tenant?

Tenant admin roles are available — a central platform admin view plus decentralised responsibility per tenant. This lets a district administration maintain platform compliance while individual schools onboard their own teachers and learners.

Pathways, skills & certificates

What's the difference between Pathways and Moodle Learning Plans?

Moodle Learning Plans are competency-centric. Learning Pathways (see plugin page) are sequence- and time-centric: fixed order with prerequisites, due dates, visibility windows. Both run in parallel — Pathways for guided curricula, Learning Plans for competency view.

Can learners self-allocate pathways?

Yes. Pathways can be released to the catalogue, filtered by Audience rule. Learners only see pathways for which they qualify and can self-allocate — typical for elective training alongside mandatory modules.

Are Open Badges supported?

Yes, OBI-compliant. Certify (see plugin page) generates them on pathway completion; they are archived in the LernHive profile and can be carried into external backpacks (e.g., Mozilla, Badgr). PDF certificates are available additionally or alternatively.

When is the Skills module coming?

Skills & learning plans is on the R2 roadmap and integrates with Moodle core competencies. Tracking is documented in backlog item BL-R2-01. Before contract sign-off we verify the exact state per tender as the module is in active development.

Pricing & contract

How is LernHive billed?

As a subscription per monthly active user (MAU). Tiers: Starter, Professional, Enterprise, Partner-Managed — details on the pricing page. Monthly measurement is the cost driver, not seat count or stored accounts.

What is the contract term?

Standard 12 months, from the second year quarterly notice applies. Procurement frameworks of 4 or 5 years are priced as a special arrangement with fixed tier conditions.

Are all building blocks included in the tier?

R1 building blocks (foundation, theme, audience, reporting, ContentHub etc.) are included in every tier. Add-ons like seminar management and orgchart are optional in Professional and included in Enterprise.

What happens to our data at the end of the contract?

At contract end, tenants receive a full data export (Moodle backup + CSVs). GDPR-compliant deletion follows after an agreed grace period (default 30 days). Backups expire in sync — there is no lock-in.

LernHive vs. Moodle

Is LernHive a Moodle fork?

No. LernHive runs on unmodified Moodle 5.x — no fork, no core patches. All extensions are standalone plugins that would run on stock Moodle. This protects tenants from vendor lock-in and keeps the update path open.

What distinguishes LernHive from Moodle Workplace?

LernHive is optimised for clear UX, guided onboarding and optional LXP use; Moodle Workplace focuses more on compliance and HR workflows. Both run on Moodle 5.x; LernHive ships its own building blocks like Audience, Pathways and Explore that are not in the Workplace bundle.

Can we migrate existing Moodle content?

Yes. Existing Moodle backups (.mbz) import directly, including activities, course structures, question pools and user data. Migration from third-party systems (Totara, ILIAS, OpenOlat) runs via SCORM/IMS export or as a custom migration project.

Can we get plain Moodle without the LernHive extensions?

Yes. eLeDia also offers Moodle hosting without the LernHive building blocks — e.g., when only standard Moodle is desired. LernHive is the UX and functional extension layer; it is optional and can be activated later.
