An active user is any person who logs into your LernHive instance at least once within a calendar month. Created but inactive accounts do not count. Admin and trainer accounts count like learners.

How billing works.

You pick a package size at the start. At month end we measure how many users were actually active. The invoice is built on that — fair, traceable, with no paywall for individual foundation modules.

Choose your package

At contract start you choose the expected size: 50, 100, 250, 500 or 1,000 monthly active users. The package determines performance allocation and tariff.

Add storage

20 GB are included in every package. If you need more, add storage in 10 GB increments — at the start or later, as your need grows.

Measure activity

Across the calendar month we count which users logged in and engaged at least once. Inactive accounts are not counted.

Generate invoice

At month end we generate the invoice based on actual activity, chosen package size and booked storage. Every value is visible in the admin area before the invoice.

What counts as 'active'?

An active user is any person who logs into your LernHive instance at least once within a calendar month. Admin and trainer accounts count like learners. Accounts that exist but never log in are not counted — and not billed.

Storage: 20 GB base, then 10 GB steps.

Storage is a separate metric — independent of package tier. Whether package 50 or package 1000, every instance starts at 20 GB and grows in 10 GB blocks as your content scales.

Storage can be extended at any time — on request we activate the next 10 GB block. Reductions take effect at the next month change.

What is the difference between package size and capacity level? Package size (50 / 100 / 250 / 500 / 1,000) measures activity across the whole month. A school with steady self-paced learning is often fine with Smart; a corporation with mandatory training will pick High.

Where is my data stored? In ISO 27001-certified data centres in Germany. There is no data processing outside the EU; subprocessors are listed individually in the DPA.
What happens if we leave? You receive full data exports (course content, participant data, progress) in open, documented standard formats. Your content investment stays portable.
Is there a free trial? Yes. As part of a partner call we set up a guided trial instance. Scope and duration are agreed together.

Are there discounts for non-profits? Yes. Schools, non-profit education providers and associations receive a separate tariff model after review. Please mention this during the partner call.
