LernHive KVBW

LernHive KVBW adds the doctor and practice details of KVBW accounts to the Moodle profile. It provides eight profile fields in the category KVBW Arztprofil, checks the format of LANR, BSNR and EFN when a profile is saved and shows the details as a compact section on the profile page. Accounts that sign in through the member portal see a notice on Moodle's password page that their password is managed there.

What this plugin does

LernHive KVBW adds the doctor and practice details of KVBW accounts to the Moodle profile. It provides eight profile fields in the category KVBW Arztprofil, checks the format of LANR, BSNR and EFN when a profile is saved and shows the details as a compact section on the profile page. Who this is for

RoleWhat they do
LearnerMaintains the KVBW details in their own profile and sees them on the profile page; single-sign-on users see the password notice
Platform administrationEdits the KVBW details of other accounts through Moodle's user administration
Site administratorSets the member portal URL and checks the provisioned profile fields

Managers (reporting line) and trainers do not interact with this plugin.

Core concepts

KVBW profile fields

The plugin creates these fields (shortnames kvbw_*). All are optional.

FieldType
Profiltyp (profile type)Text
Fachgebiet (specialty)Drop-down list with a fixed list of specialty groups (Allgemeinmedizin, Anästhesiologie, … Zahnmedizin, Sonstiges)
Fachgruppen-Code (specialty group code)Text
BSNRKVBW identifier, 9 digits
LANRKVBW identifier, 9 digits
EFNKVBW identifier, 15 digits
Funktion (function)Text
Zulassungsstatus (licence status)Text

Field labels, the category and the profile section are always shown in German, whatever language the site or the user has chosen.

Visibility

The fields are private (Moodle setting Visible to user): only the person and staff who may view all user details see them. They are not shown to other users, because they are sensitive professional identifiers.

Format check

LANR and BSNR must consist of exactly 9 digits, EFN of exactly 15 digits — without spaces or separators. An empty field is allowed. Only length and digits are checked, not check digits.

Member portal notice

Accounts that sign in through the member portal (single sign-on) manage their password there. Moodle's Change password page tells them so and, if configured, links to the portal.

Journeys by role

Learner: maintain your KVBW details

  1. Open the user menu, choose Preferences and then Edit profile.
  2. Expand the section KVBW Arztprofil.
  3. Fill in the fields you need and choose your Fachgebiet from the list.
  4. Enter LANR and BSNR with 9 digits and EFN with 15 digits, or leave them empty.
  5. Choose Update profile. If an identifier does not match its format, the field shows an error and nothing is saved until you correct it.

Learner: view your KVBW details

  1. Open the user menu and choose Profile.
  2. The section KVBW Arztprofil lists all eight fields; empty fields are marked as such. Only you and authorised staff see this section.

Learner: change your password (single-sign-on account)

  1. Open the user menu, choose Preferences and then Change password.
  2. The page shows Your password is managed in the member portal. It cannot be changed here.
  3. Choose Open the member portal to change your password there. The link opens in a new tab and is only shown when the site administrator has set the portal address.

Platform administration: edit the KVBW details of an account

  1. Go to Site administration → Users → Accounts → Browse list of users and open the account.
  2. Choose Edit profile and expand the section KVBW Arztprofil.
  3. Change the values and choose Update profile. The same format check as for learners applies. No plugin-specific permission is involved; Moodle's permissions for editing users apply.

Site administrator: set the member portal URL

  1. Go to Site administration → Plugins → Local plugins → LernHive → LernHive KVBW.
  2. Enter the HTTPS address of the member portal under Member portal URL.
  3. Choose Save changes.

Site administrator: check the provisioned fields

  1. After installation or an upgrade, go to Site administration → Users → Accounts → User profile fields.
  2. Check that the category KVBW Arztprofil contains the eight fields listed above and that BSNR, LANR and EFN use the field type KVBW identifier.

The field set and the specialty list are fixed by the plugin.

Limitations

  • The format check covers length and digits only, not check digits.
  • The format check applies when a profile is saved in Moodle's profile forms and in Moodle's Upload users. It does not apply to values written by the LernHive tool Profile field import and export or by interfaces that write profile data directly, such as Moodle web services or the synchronisation of accounts from an external system. Check LANR, BSNR and EFN before you import them through these routes.
  • Values stored before the format check was introduced stay as they are. They must be corrected the next time the profile is saved.
  • There is no separate KVBW edit page; the fields are edited in Moodle's profile forms.
  • The specialty list cannot be changed without a code change.
  • Labels and the profile section are always German.
  • The fields are created at installation and updated by plugin upgrades that contain a provisioning step. Renamed fields get their German labels back at the next such upgrade; deleted fields are not recreated automatically.
  • The password notice is shown only for accounts with the authentication method OIDC, and only if the sign-on plugin lets Moodle display its Change password page. The plugin does not change passwords.
